Rewards settings: A complete guide to managing your team's recognition and rewards



The Rewards settings section allows you to manage the way your team recognizes achievements and distributes rewards. With a variety of customizable rewards and detailed tracking, you can easily set up systems to celebrate team success and incentivize performance. This guide will walk you through how to manage rewards fulfillment, add and manage rewards, and configure billing for reward purchases.

Navigating to the rewards settings section



To access Rewards settings, log in to your account. In the header, click on the dropdown menu, then select Settings, and choose Rewards from the list of available sections. This will take you to the Rewards page, where you can manage all aspects of your team’s recognition system.


Rewards fulfillment



The Rewards fulfillment tab gives you a detailed overview of all rewards that have been redeemed by team members, along with their current status (pending, fulfilled, or declined). This section helps you track when rewards were requested and processed, ensuring that every reward is properly logged and actioned.

Tracking redemption and status
Each row displays a reward that has been redeemed, including details like the reward name, who redeemed it, the date it was redeemed, and its current processing status.
- Pending: The reward has been requested and is awaiting processing.
- Fulfilled: The reward has been processed and completed.
- Declined: The reward request was not approved.

Exporting fulfillment history
At the top of the Rewards fulfillment section, you can export the last 30 days of rewards history. This feature is especially useful for reporting purposes or for reviewing the frequency and types of rewards being redeemed within your team.


Managing rewards



The Rewards management tab allows you to customize and manage the rewards catalog available to your team. Whether you're offering experiences, gift cards, or company merchandise, this section is where you can add new rewards and edit existing ones.

Adding new rewards
To add a new reward, simply click the Add reward button in the top right corner. This will open a form where you can enter the reward name, description, and the number of coins required to redeem the reward.

Customizing existing rewards
All rewards can be edited or deleted by clicking on the three dots next to the reward card. You can update details like the description, coins required, and category (e.g., experiences, gift cards, merchandise).

Organizing rewards
The rewards are grouped into categories such as Goods and experiences, Money and gift cards, Company merchandise, and Charity. This helps ensure that your rewards catalog is organized and easy for team members to navigate.


Billing for rewards



The Billing tab allows you to manage the payment method for rewards purchases. Karma uses Stripe to securely process payments for rewards that require external purchases (e.g., gift cards).

Adding a payment method
To add a new payment method, click on Add card in the Billing tab and enter your payment information. The card you enter will be securely saved and used for future reward purchases.

Managing payment details
You can edit or remove your payment method at any time. All payments are processed securely through Stripe, ensuring that your financial information is protected.


How to make changes



- Updating rewards
To make changes to any reward, simply click on the Edit button for the relevant card in the Rewards management tab. All changes are saved after pressing the Save button and will take effect immediately in the system.

- Reverting changes
If at any point you need to undo a change, you can revisit the Rewards management section and change the required values for the reward to its previous state or remove it altogether.
